When a fleet vehicle breaks down, multiple components work together to get it up and running as quickly as possible. Fleet managers must coordinate with drivers to deliver vehicles to the appropriate technician, schedule maintenance, handle billing, approve repairs, and navigate the many intricacies of the repair process through clear, consistent communication. It’s a lot to handle, and the many gaps in the process can lead to delays, increased vehicle downtime, and lost revenue.
ServiceUp streamlines the fleet repair process with an AI-powered platform that centralizes all aspects of fleet maintenance. Through the ServiceUp platform, fleet managers gain an overview of the entire repair process and use data and analytics to identify where time and money can be saved. They can communicate with technicians, manage the billing process, and even automate approvals based on preset rules to get vehicles back on the road without delay. Not only do these tools decrease vehicle downtime, but they also free up the fleet manager to focus on other tasks without worrying about red tape.
We interviewed Demetra Markopoulos, SVP of Fleet at ServiceUp, to learn more about the company’s AI platform and how it can boost fleet profitability and efficiency.
How does ServiceUp simplify vehicle repairs for fleets and insurers?
ServiceUp is an AI platform that helps fleets manage repairs. Our high-level platform automates and simplifies the repair process by providing a centralized hub for fleet managers and operators. The industry is highly fragmented in communication, billing, and repair management. Our ServiceUp platform brings everything into one place, providing oversight and transparency into the repair process. Whether it’s a fleet manager, operator, or company stakeholder, everyone can see a clear overview of communication between shops and fleets, billing, scheduling, photos, approvals, and more.
What types and sizes of fleets do you work with? Is there a sweet spot?
ServiceUp works with all fleets, big and small, centralized, and dispersed. Our sweet spot is mid- to large-sized enterprise fleets and light- to medium-duty vehicles. Larger fleets see the greatest value in our platform because it provides oversight regardless of where the fleet operates or who manages it. It provides a single source of truth for the vehicle repair process, including repair details, data, and analytics.
What are some of the benefits fleets receive when they offload repair management to ServiceUp?
They gain time and efficiency, reducing costs and downtime. Fleet operators can leverage the data and analytics we capture around repairs to make better business decisions for their fleet. For example, we track the time and cost of the repair process, allowing the operator to determine whether they are overspending or if cycle or approval times are taking too long. This data is instrumental in helping them become more efficient and save on costs.
How can ServiceUp help increase fleet profitability?
The data shows where fleets are spending and where they can lower costs. We also automate parts of the repair process, such as approvals. If approvals are automated, fleet managers can spend less time managing them, increasing vehicle uptime. We can get vehicles back on the road faster by identifying gaps and closing them. Our platform features customer triggers and notifications, as well as an AI repair agent that assists when SLAs aren’t being met.
If a fleet has a specific SLA for cycle time, for example, they won’t need to contact the shop themselves. The AI agent will handle it for them, reducing administrative overhead and eliminating unnecessary tasks that burden fleet managers. Instead of replacing the fleet manager, we’re helping them improve efficiency so they can focus on more important tasks.
What are some of the services ServiceUp provides?
We offer a customized solution tailored to each fleet’s needs. Our core offering is our AI-powered platform, but we also provide a range of more detailed services. If a fleet has an existing network of preferred shops, we can onboard them. We have a team that works with the shops, showing them how to use the platform and ensuring effective and frequent communication with the fleet.
If they’re looking to offload more of the repair process, we can manage it entirely. We have a vetted network of shops and a service advisor team that can handle communication. We also have a marketplace, so fleets can choose how much of the repair process to hand over to us. If they’re just looking for additional repair shops, they can find mobile providers and more through our marketplace. Fleet operators can choose whether to automate audits and approvals based on their preferences and fleet-specific rules.
In January, we’re launching a shop recommendation engine. It will consider ratings and reviews, vehicle proximity, and shop capacity to identify the best shop for the job.
In what ways does ServiceUp work with FMCs?
We work directly with several FMCs. For some, we provide repair solutions directly for the fleets and vehicles they manage. For others, we’re a preferred partner in their network. In those partnerships, we act as the service provider and platform that helps fleets manage repairs, collaborating with both the FMC and the fleet. We facilitate information flow, so if the FMC wants to know about fleet repairs, we keep them informed, and vice versa.
Can you share a success story?
We have a large e-commerce fleet that we’ve helped gain efficiency and national-level oversight of its operations. Our core platform provides them visibility and transparency into repairs, both those that they handle directly and those they outsource to contractors. We currently manage about 20% of their fleet and plan to expand to additional locations, ideally reaching 100%. We’ve provided oversight through data and analytics that show them which changes they can make, how to better support their contractors, and whether they’re operating in compliance.
Compliance is essential not only for safety but also for the vehicle’s longevity. We can demonstrate that preventive maintenance is being performed as scheduled and on a regular basis. We’ve sped up the approval process by 150% by creating automated approval rules based on their SLAs. They’ve saved millions of dollars by getting vehicles back on the road more quickly. It’s also eliminated unnecessary overhead, creating a win-win for both the company and its contractors. Everyone benefits from transparency and visibility into the repair process data and analytics.
